Principal Duties and Responsibilities
1.Undertake the accurate and timely completion and processing of the high-level Transaction Lists as part of the financial claim submission process on a quarterly basis, ensuring that information is prepared and checked against contracts; single tenders and Impact client information on the central record systems.
2.Ensure financial transactions are collated and reconciliation is undertaken to track expenditure and evaluate budgets to ensure they remain within agreed tolerances and where discrepancies are identified raise with the Project Co-ordinator to establish resolution.
3.Check that financial information is correct, liaising with Accountable Body, Key Workers and Finance and Payroll teams as required.
4.Undertake requisitioning duties, raise purchase orders and complete goods receipt notices on Agresso and reconcile invoices for payment, liaising with internal customers and external training providers and contractors.
5.Process P-card transactions to monthly deadline requirements.
6.Monitor the defrayal of the Impact budget funds in collaboration with Council Finance Teams.
7.Ensure financial documents and records are kept up to date paying attention to
a.Inputting, analysing and collating information
b.Preparing documents and material for presentation in a timely manner.
c.Projecting pipeline outputs and results
d.Reviewing progress and evaluation
8.Co-ordinate the compilation of financial information for audit, claims and financial checks.
9.Identify potential financial risk to the project and ensure escalation to Project Compliance Co-ordinator and Skills Managers.
10.Establish and maintain effective paper and electronic filing and records management to ensure maintenance of project and programme files in line with European Social Fund requirements to meet all audit requirements.
To Be successful for this position you must have experience in the following
Analysing and reporting financial data.
Experience of working effectively in partnership with other organisations and agencies towards mutually beneficial objectives.
Experience of producing the necessary paperwork, forms, and reports for grant funding claims.
An understanding of the opportunities and challenges facing young people.
Knowledge of audit and procurement and finance procedures within a public sector organisation
Self- motivated pragmatic and resourceful.
Able to establish rapport with a range of relevant key stakeholders.
