Programme and Admissions Assistant
Salary: £13.79 per hour
End date: 13th April 2018
Full Time: 35 Hours per week
We are currently recruiting on behalf of London's most prestigious and highly regarded Universities for a Programme and Admissions Assistant. The ideal candidate will have some administrative experience, eager to learn and available immediately.
This form summarises the purpose of the job and lists its key tasks. It is not a definitive list of all the tasks to be undertaken as those can be varied from time to time at the discretion of the School, in consultation with the postholder.
Programme/Admissions Responsibilities Include:
*Liaising with an external editor regarding the compilation of cohort Facesheets, and coordinate on the production of the document with internal university services such as the Design Unit
*Supporting the administration of surveys for students, liaising with the students, the external supplier and the students' colleagues in ensuring these are completed to a strict schedule
*Organizing output from above survey (ability to analyse data a plus)
*Checking, uploading and applying appropriate materials on Moodle, the programme's digital learning platform
*Logging student information taken from various sources and inputting it in to the programme Salesforce student record system
*Completing mail-outs to new and prospective students, requesting and giving information and dealing with the resulting queries, with supervision
*Auditing and updating student records and admissions data
*Possibly supporting promotional and/or reception events
*Possibly creating and arranging courier delivery for Admissions and Program team materials to be sent to international destinations, dealing with any queries that may arise and resolving them with supervision
*Additional programme and admissions related responsibilities as they arise
Administrative Responsibilities Include:
*Actively supporting the Programme Registry Coordinator, Recruitment and Admissions Coordinator and Programme Manager
*Logging invoices for the programme team, arrange for authorisation by budget holders and deliver them to the Finance office every week
*Carrying out additional other administrative tasks as they arise, including but not limited to maintaining inventory of previous program supplies and helping with new purchases, organisation of historical surveys, finalizing the compilation of a faculty facesheet, etc.
Customer Service Responsibilities Include:
*Providing a high level of customer service in all interactions with students and staff, keeping to the programme Service Level Agreement
*Taking responsibility for providing accurate information to the programme community
*Liaising, as required, with members of staff at other alliance institutions
*Responding to student queries in designated areas with supervision, for which full training will be given
Web and Technology Responsibilities Include:
*Supporting the maintenance of the distant learning platform, Moodle.
